Handbook Submission Guidelines

Page Size and Margins:

Page Size: Be sure to format the size of the page you are working with prior to adding any content to your document. Primary, elementary, and middle/jr. high agendas = 8 1/2” x 11” page size; high school agendas = 6” x 9” page size. If you are preparing your handbook with Microsoft Word on a PC, the page size option will be found in the main toolbar under File/Page Setup/Paper. If you are preparing your handbook with Microsoft Word on a Mac, the page size option will be found in the main toolbar under File/Page Setup/Settings: Custom Paper Size. Please note that unless page size guidelines are followed, we cannot guarantee the readability of text on reduced or resized pages.


Margins: Be sure to format the appropriate margins prior to adding any content to your document. Primary, elementary, and middle/jr. high agendas = 1” margins left and right, and 1/2” margins top and bottom; high school agendas = 1/2” margins on all four sides. If you are preparing your handbook with Microsoft Word on a PC, the margin options will be found in the main toolbar under File/Page Setup/Margins. If you are preparing your handbook with Microsoft Word on a Mac, the margin options will be found in the main toolbar under File/Page Setup/Settings: Microsoft Word/Margins. Please note that unless margin guidelines are followed, we cannot guarantee our agendas’ plastic coil binding or three-hole punches (large format agendas only) will not interfere with your handbook text.

Content:

Page Counts: Handbook pages may be added in individual pages (1 sheet printed on 1 side = 1
page). The number of pages to be included in the handbook includes the title page, if one is provided. DO NOT submit handbooks printed as duplex copies (text printed on both sides of 1 sheet). Please insert blank sheets of paper to indicate tear-out pages that should remain blank on one side to ensure proper collation.

Paper: Hardcopies of handbooks must be submitted on WHITE PAPER ONLY. Please do not fold,
staple, tape, or glue any items to any pages.

Content:

• Text must be BLACK TYPE ONLY.
• Photos (whether color or black and white) may not reproduce with their original clarity and are
discouraged from inclusion in handbooks.
• Clip art must be BLACK LINE ART ONLY. Clip art will not be reproduced in color and may lose detail
when reproduced as a grayscale or halftone image.
• Page numbers MUST be included on every page to assure proper collation. Page numbers must be
placed at least 1/4” from the bottom of the page.

Submission:

Mail (hardcopy): All handbooks MUST be mailed to Alliance Publishing & Marketing, Inc. as lasercopies only. Faxed copies WILL NOT BE ACCEPTED as they are of poor quality and lack detail for reproduction.

E-mail/Disk (electronic copy): All handbooks also provided via E-mail or disk MUST BE IN PDF
FORMAT ONLY. Please contact your sales representative for appropriate E-mail address. Handbooks not formatted correctly that are received via E-mail or disk may be reproduced with errors such as improper text wraps, unnecessary spacing, additional page breaks, and missing tables or graphics. WE ARE NOT RESPONSIBLE FOR ERRORS RESULTING FROM IMPROPER FORMATTING.

Typesetting, Reduction and Conversion Fees:

Reduction: Handbooks received in the wrong page size that require reduction will incur an additional
fee of $5.00 per page. If correction is needed to handbooks we reduced in previous years, reduction
fees will apply.

Typesetting: Handbooks received that require reformatting or typesetting of TEXT ONLY will incur an
additional fee of $20.00 per page. Handbooks received that require reformatting of graphics, charts,
tables, or any material in a columnar layout will incur an additional fee of $30.00 per page. If
correction is needed to handbooks we typeset in previous years, typesetting fees will apply.

Conversion: Handbooks received in an electronic file format other than PDF will incur an additional fee of $15.00 for EACH conversion to a PDF.
