Page Size and Margins:
Page Size: Format the size of the page you are working with before adding content to your document. Primary, elementary, column, and middle/jr. high agendas =
8 1/2” x 11” page size; high school agendas = 6” x 9” page size. When preparing your handbook with Microsoft Word on a PC,the page size option will be found in
the main toolbar under File/Page Setup/Paper. When preparing your handbook with Microsoft Word on a Mac, the page size option will be found in the main toolbar under File/Page Setup/Settings: Custom Paper Size.(Click on the box labeled "Use custom page size" after entering your page settings.)
If these guidelines are not followed, Alliance will have to scan and reduce/resize your handbook to the correct dimensions AT YOUR COST (see "Scanning"
and "Reduction" fees below). Keep in mind, if Alliance has to adjust the size of your handbook after it is received, the readability of your text could become
compromised and, therefore, cannot be guaranteed.
Margins: Be sure to format the appropriate margins before adding any content to your document. Primary, elementary, and middle/jr. high agendas = 1”
on all four sides; high school agendas = 1/2” margins on all four sides. When preparing your handbook with Microsoft
Word on a PC, the margin options will be found in the main toolbar under File/Page Setup/Margins. If you are preparing your handbook with Microsoft Word on a
Mac, the margin options will be found in the main toolbar under Format/Document: Margins.
Please note that unless margin
guidelines are followed, we cannot guarantee our agendas’ plastic coil binding or three-hole punches (large format agendas only) will not interfere with your
handbook text.

•TEXT IS LIMITED TO THE FOLLOWING FONTS: Arial, Arial Black, Bookman,
Century, Century Gothic, Comic Sans MS, Courier, Garamond, Helvetica,
Microsoft Sans Serif, Palatino, Tahoma, Times New Roman, Verdana.
• Text must be in BLACK TYPE ONLY.
• Photos of any kind may not reproduce with original clarity and are discouraged from inclusion in the handbook.
• Clip art must be BLACK LINE ART ONLY.
• PAGE NUMBERS MUST BE INCLUDED on every page to assure proper collation. They must be placed at
least ¼” from the bottom of each page.
• Handbook pages may be added individually (1 sheet printed 1 side = 1 page). The number of pages to be
included in the handbook includes the title page, if provided.
• All handbooks containing images, graphs, charts, tables, wrap-around text, etc., or loose pages from thirdparty
sources (i.e. district pages), see “Submission” section below.
Submission:
E-mail/Disk (electronic copy):All electronic handbooks MUST BE IN PDF FORMAT ONLY. Handbooks prepared without following the guidelines set forth on this page may be reproduced with errors
such as improper text wraps, unnecessary spacing, additional page breaks, and missing tables or graphics.
WE ARE NOT RESPONSIBLE FOR ERRORS RESULTING FROM IMPROPER FORMATTING.
Mail (hardcopy): All handbooks containing images, graphs, charts, tables, wrap-around text, etc., or
loose pages from third-party sources (i.e. district pages), MUST be mailed on WHITE PAPER ONLY to Alliance
Publishing and Marketing, Inc. for scanning and possible reduction (see “Scanning” and “Reduction” fees
below).
• DO NOT submit handbooks printed as duplex copies (text printed on both sides of 1 sheet).
• DO NOT fold, staple, tape, or glue any items to any pages.
• DO insert blank sheets of paper to indicate tear-out pages that should remain blank on one side to ensure
proper collation.
• FAXED COPIES WILL NOT BE ACCEPTED!
SCANNING, REDUCTION, AND TYPESETTING FEES:
SCANNING:For all laser copies of handbooks containing images, graphs, charts, tables, wrap-around text,
etc., and/or loose pages from third-party sources (i.e. district pages), or handbooks that have been improperly
sized, it will be necessary for Alliance Publishing and Marketing, Inc. to scan the hard copy of your entire
handbook. The following fees apply:

REDUCTION: Handbooks requiring reduction for proper page size will incur an additional fee of $5.00 per
page. If correction is needed to handbooks we reduced in previous years, reduction fees will apply.
TYPESETTING: Handbooks requiring reformatting or typesetting of TEXT ONLY will incur an
additional fee of $20.00 per page. Handbooks requiring reformatting of graphics, charts, tables, or any
material in a columnar layout will incur an additional fee of $30.00 per page. If correction is needed to
handbooks we typeset in previous years, typesetting fees will apply.
